Oxfordshire Mind Database

Oxfordshire Mind is the leading mental health charity in Oxfordshire. They asked us to build them a database that could be used by all their volunteers to update information and allow the admin team to run reports for funders.

The brief

Oxfordshire Mind asked Alberon to provide a database for outcomes and client information monitoring. They needed to provide data on how many people they help and how to the local PCT (Primary Care Trust) who help with their funding.

Their previous reports process was very manual and paper-driven. They wanted a database to collect the data and produce reports to show what had been done and monitor progress. Since they run projects in various parts of Oxfordshire, working in unstructured settings, they preferred a web-based solution which volunteers could access from anywhere.

The system needed to be easy to use for their numerous volunteers, and provide different levels of access.

The solution

We delivered a simple to use web-based solution that allows staff to record clients’ details, keep track of their activities, and report to funders immediately after the end of every quarter.

In addition, the system allows them to control all administrative data, e.g. adding and updating projects, sessions and master data such as Reasons for Leaving. It also captures outcomes for individuals which is critical for funders.
